The Squad Work option is a way of having a squad leader or supervisor recording clock on and off times rather than giving every member of the team access to magic5. In other words the squad leader can:
- select which operatives he's working with and clock them all on at the start of the day, instead of them all having to clock on individually
- can clock people off during the day when they go off site, take their break or move to a different team
- clock everybody off at the end of the day as a batch
As far as timesheets are concerned, any work booked during the day on the squad leader's device gets shared out pro rata amongst all squad members - ie taking into consideration that they may have worked a whole day, half a day or an hour etc and allocating a percentage of the work accordingly.
Seals booked in will show up on the web site under the squad leaders’ name.
For example, a squad contains leader John plus members Peter and Mark. When John arrives Mark is there so he clocks them both on. 1 hour later Mark leaves so John clocks him off. 2 hours later Peter arrives and is clocked on by John and 3 hours later they both finish for the day so John clocks them both off together.
They all get a proportion of the day's work based on the number of hours they worked - it doesn’t matter whether they were working when a particular seal was booked in.
Using the example above where John has been there for 6 hours, Peter for 3 hours and Mark for 1 hour, and taking an example of £1000 worth of work being booked in during the whole day, it would be shared out and appear on the timesheet summaries as:
- £600 worth of work credited to John,
- £300 worth of work credited to Peter and
- £100 worth of work credited to Mark
The same sort of thing applies with the productivity values shown. Suppose the seals booked in represent 1000 minutes. Mark would get a credit of 100 minutes’ work for the 1 hour of actual work, indicating that they were very productive in that 1 hour. If Mark did no further work that day (so nothing else was logged against him for the whole day, either on their own phone or part of other squads) then he would show up as very unproductive.
Use the Squad Work option if:
- not all the operatives have a suitable device
- operatives tend to move between squads
- it is useful to compare operatives “credits”
- all operatives have their own phones and somtimes book in their own work, but when working with a particular squad you want them to share credit when other people book in work they’re helping with.
Do not use the Squad Work option if:
- squad members have only been drafted in to help and the squad leader is the only one getting paid according to the work booked in
- the squad are credited as a whole so the individual squad members are irrelevant
- squad members never book in work under their own name, either as part of the squad or elsewhere
- it is not cost effective to pay for licences for all the squad members as magic5 users.
